    Olen ollut aina kova time blockauksen puolestapuhuja, mutta nykyään kun on se 50 tehtävää joka päivä, pelkästään näiden aikatauluttaminen vie liikaa aikaa. Palasin siis alkuvuodesta takaisin Todoist-käyttäjäksi ja aikataulutan aikablokit suoraan kalenteriin isompina blokkeina, joiden aikana teen pienempiä Todoist-tehtäviä. Esimerkiksi asiakkaan nimi toimii yhtenä blokkina puoli päivää ja toisen asiakkaan tai asian nimi toisen puolen, jne.

    Mikään ei varsinaisesti ole kovin pielessä tässä mallissa, tai Todoistissa, kun olen käyttänyt kalenteria ja Todoistia tehtävälistana noin 15 vuotta. Mutta todo-appi silti ontuu kun tekemistä on liikaa. "Simppeli tehtävälista"/quick capture all -tyyppisessä lähestymismallissa on muutama ongelma:

    1. Lisään tehtäviä matalalla kynnyksellä, myös vähäpätöisiä asioita, joita on pakko hoitaa, mutta ei ehdi nyt, esimerkiksi "Soita henkilölle X" tai "Lähetä sähköposti" tai "Palaa asiaan", jne. Mutta tämä johtaa siihen että "aikatauluttamattomat" hautatuvat enkä aina muista tarkistella vähäpätöisempiä, ei-kiireellisiä asioita

    2. "Tänään" tehtäviä on usein 50+ ja menee aikaa karsia niitä, koska laitan niitä aina huomispäivälle ihan siitä syystä että en ehdi miettiä ajankohtia. Jos taas en laita ajankohtaa: katso kohta 1.

    3. Usein otan tehtäviä projektityökalustamme Linearista, copy pastean tehtävän nimen ja laitan Todoistiin, jotta muistan tehdä. Sama juttu esim. meileistä, eli jos en juuri nyt ehdi hoitaa sähköpostissa vilkaistua asiaa, copy-pastetan meilin otsikon tehtäväksi. Tämä johtaa siihen, että on tuplatehtäviä monella alustalla.

    Olen käynyt kaikki varteenotettavat Todo-sovellukset läpi (Sunsama, Akiflow, Todoist, Upbase, Clepside, Sorted3, Ellie, Amie, Lunatask, TickTick, Routine, Taskade, General Task, Amplenote, Tascaly, Reclaim, Taskable, Anydo, Motion, Focuster, Morgen, Tweek, Flowsavvy, Obsidian) ja välissä harkitsin jopa ihan johonkin tekstitiedosto/markdown-tyyppiseen siirtymistä. Mutta käytän montaa eri alustaa ja todoappin on toimittava Linuxilla, iPhonella, Macilla - sen pitää olla nopea, helppo, mahdollisimman vähän työllistävä.

    Meinasin taas jo luovuttaa, mutta sitten muistin, että käytin pari vuotta sitten sovellusta nimeltä Tweek... Se näyttää kivasti viikkonäkymän ja tuo kalenterieventit tehtäviksi.     1. Lisää kaikki oleellinen tekeminen tehtäviksi (Obsidian, Sunsama)
    2. Tehtäville kategoria, suoritusaika ja päiväys (Sunsama)
    3. Aikatauluta kalenteriin (Sunsama)
    4. Aamuisin: Tarkista agenda

    My kind of #work requires me to be present* and react* to things that come up from co-workers and bosses.

    I feel unproductive. I can do better, I just can't quite get there. I'm so scattered-brained. Not necessarily a bad* thing. I think of it as a feature of me just being me, not a flaw. 🤪

    I've read on #TimeBlocking #DayTheming #TaskBatching #PomodoroTechnique. Trouble with implementation. Can't quite make them fit for me. 😕

    Any advice?

    Well, it’s not really day 7, it’s been quite a few days. (a week i think)

    What I worked on last week was what the logs and the reviews were showing me, telling me. That I had too much on my plate.

    cut out a lot of stuff from life. delegated even more. and postponed a few important things. And completed a few of them. There was just no way I was doing them all anyway

    What I have learnt, is just showing up daily and doing even haphazard work, leads to getting more done, rather than just wringing my hands over all the things I couldn’t do.

    Have quite enjoyed the past couple of days. To boot, my body seems to like this way of working and I have lost weight. Something which I have been struggling to do, since January

  23. Thoughts after a few days of #TimeBlocking

    - I can only do about 4 hours of #Focus split across two hour blocks
    - The rest of my day is *filled*, which is why I cannot do more
    - I get very, *very*, distracted. Very Soon. Progress on stuff is slow, and it’s is not helped with my mind flitting off to do different things or think different things
    - I have poor impulse control. I’ve already opened up that social media page and clicking away happily before I catch myself. This is getting better
    - The @neilhimself method helps. and is maddeningly, frustratingly easy, yet hard to do. Either do the task. or sit and do nothing. No other option. I come away sweating.
    - I have taken on so many things to do, when I have a life that is quite uncertain. I need to make space and have margin. And until my life changes, this is how it has to be. Fewer commitments. Stronger commitments.

    Here’s to slow, steady progress

  24. ok. this suddenly struck me as I was reviewing my day, last eve, as I do all these #TimeBlocking posts.

    The reason I don’t much done, even after all these lovely plans, is that I spent most of my day, holding my breath, for something that may or may not come and knock me and my day over.

    I don’t know if it’ll come or not. but my body is in near constant flight or fight mode. because to my mind and body, being caught blind sided is far worse.
    I need to figure out a way to be calm and collected and to be ok if things fall by the wayside. both; what is coming at me, or my grand plans for the day.

    i need to trust my gut, that what I am doing *is* the right thing to do in that moment. If that means that my planned life trajectory will slow down, then I need to clear time and review, and prioritise and have heart to hearts with folks, and / or be ok with life being the way it is.

    Just putting these down on paper, seems to have unblocked something in me. Some progress then :)

    Energy highest in the morn. Tackle hard tasks then.

    Doing this makes me a lot more self aware and intentional.

    the plan got borked thrice in the day.
    At least this time I got to be intentional about what I would do / ditch / delegate / postpone

    And everything got captured, so my mind’s empty

    It’s not natural doing this. And a bit hard.

    So I’ll probably keep doing these, until the process becomes second nature.

    6. It allows you to identify important patterns that can help you get much more accomplished. If you see, for e.g., that Wednesday through Friday are very busy due to a visiting client, then you can compensate by squeezing in more uninterrupted deep work on Monday or Tuesday. Or if you know you'll be off-site all day Friday, then you can adjust your Thursday schedule to make sure loose ends are tied up before the trip.
    7. Sometimes your weekly planning habit can motivate you to change appointments already on your calendar. After trying and failing to fit in enough hours to finish an important project, for e.g., you might realize that you need to cancel or reschedule a few non-urgent appointments perhaps coffee with a colleague or a meeting for a speculative project to make room for the more urgent work.

    PLAN YOUR WEEK!

    1. You should work out your weekly plan either first thing Monday morning or over the weekend before the week begins.
    2. When crafting the plan, look over your calendar and whatever system you use to track your obligations, projects, and goals.
    Some people like to empty their email inbox as part of this planning process so that they feel as though they restarting the week fresh. For other people, this might be infeasible.
    3. Regardless, creating these plans takes time. For example, I usually spend between thirty and sixty minutes to get up to speed on what's happening in the upcoming week and decide how to tackle it.
    4. You might feel at first that this time is wasted like you're throwing away an hour you could dedicate to actually completing concrete tasks. I urge you to resist this reaction.

    1. I typically advise people not to time block their weekends: these two days should provide some respite from the rigors of allocating work to every minute of your day.
    2. the planner provides only a single page for organizing your entire weekend. The page is divided into two columns, one for Saturday and one for Sunday. The empty boxes included for each day can be used for jotting down a loose schedule, including reminders of any important appointments (“Dinner at the restaurant at 7:00”) or major things you hope to get done (“Read that novel”).
    3. The lined space below these boxes that's labeled “Weekend Capture” should be used for capturing ideas or tasks that come up on Saturday or Sunday. I suggest you always process these notes when you create your time-block plan on Monday morning. This will ensure that they're never forgotten.

    THE SHUTDOWN RITUAL Contd:

    Once you've finished going through your collection columns, you should then briefly review any other potential sources of unresolved work obligations.

    For most people, this means taking one last look at your email inbox, to ensure you didn't miss something urgent, as well as reviewing your calendar and obligation-tracking system.

    When done with these checks, look over your weekly plan (below), updating it as needed. The goal here is to convince yourself that there's nothing being forgotten or missed or being kept track of only in your brain, and that you have a reasonable plan for the days ahead. All of these reassurances are the precondition for enabling your brain to fully shift its attention from work to life outside work.

    THE SHUTDOWN RITUAL

    One of the most important pieces of my system's daily scheduling discipline is executing a shutdown ritual that helps your mind shift more completely from work mode to non-work mode. The details of this ritual are straightforward. At the end of each day's time-block schedule, your final step, if at all possible, is to shut down work. To do so, first make sure your personal metrics have been re-corded. Next, go through the tasks and ideas in your collection columns, deciding for each what you want to do with it. In some cases, you may need to add new tasks into your task system, while in others, you may need to update your calendar or even shoot off a quick message.
