How to write a pitch that journalists actually read.
The best pitch isn't only about what you want to say. It's about making the journalist's job easier.
Journalists are overwhelmed. Their inboxes are flooded with hundreds of emails daily, they are on back-to-back calls, and deadlines never stop. Yet most pitches ignore this reality entirely.
Here's what separates a pitch that gets a response from one that gets ignored:
Put the offer in the subject line.
Not a vague hook, but the actual topic. If you are pitching an interview with a founder, name the company and the founder. Journalists scan subject lines to triage. Give them what they need in those few words.
Know what the journalist covers and align to it.
A great pitch respects the journalist's beat. If they write about fintech regulation, your angle better speak to fintech regulation. Make it immediately clear why this story fits their work and why the person you are pitching is the right authority to comment. Generic pitches to generic lists signal that you haven't done your homework.
Be responsive.
If a journalist replies expressing interest, respond promptly. Not the next morning. Not after lunch. As quickly as you reasonably can. Nothing kills a promising pitch faster than silence when momentum is building.
Respect their channel.
Many journalists spend entire days on calls. Unless they have explicitly asked you for a phone call, don't immediately call them. Email is their natural workflow, so work within it. Calling uninvited disrupts their rhythm and rarely helps your cause.
Include the contact person's details in the email body.
Yes, your email signature has your contact details, but journalists skimming dozens of threads shouldn't have to hunt for it. State clearly who handles logistics and scheduling, and put that information right in the message. Small courtesy, big impact.
Attach or link a photo of the interviewee.
If you're pitching an interview, give them the visual upfront. It saves a follow-up round and signals professionalism. Link to a downloadable, high-resolution image, not a compressed social preview.
Offer availability options.
Giving choices reduces friction and demonstrates that you have thought about their schedule, not just yours. This makes good impression and shows that you respect them and their time.
The underlying principle is simple: make it smooth.
The easier you make a journalist's life, the more likely they will write about you. Every friction point you remove, a clearer subject line, a readily available photo, a direct contact person, increases the odds your story gets told.
Journalists' time is their most precious resource. When you respect it consistently, you are not just improving one pitch. You are building a relationship that pays dividends across every future campaign.

Finished moving the hay. The rearmost stuff was small square bales, really old ones. That can stay there for now, the back of the barn is full and the bales are easy to handle when the time comes.
To move it, I pitchforked the rest to the front of the occupied section, grabbed it with the excavator, pushed the pile along the barn floor to the back, then pitched it up into the new section and finally climbed up there to pitch it on the giant pile.
No wonder everyone switched to bales, loose hay is extremely labour intensive and very space consuming. Hence the huge barns!
Now just raking up the floor, clearing out random planks, rocks and bricks.
At least everything is biodegradable or re-usable.

I looked up from my reading and looked across the kotatsu at Ume, a cigarette dangling from her mouth. She was staring off into space with the blanket pulled up under her chin. Despite all the work I had put in, the old house she'd inherited was still drafty. "My time would be better spent fixing this house rather than studying this. Whatever #glamour being a Shinto priest had had was long gone.”
Ume paid no attention to my comment, so I kicked her under the table. "It bores you too, does it?" I read a random line to make my point:
"While intended to clarify religious categories, the process often disrupted long-standing community traditions and produced lasting administrative complexities, #pitching formerly cooperative organizations into conflict."
I continued, "Why do we need to learn about this?" and read the chapter's opening line. "The formal separation of Shinto shrines and Buddhist temples in Japan, known as shinbutsu bunri, was implemented during the early Meiji period as part of broader state reforms."
“I don’t know, but it’s kind of interesting,” Ume said.
Somewhere deeper in the house, I heard Shishi say, "Because Sensei assigned it to you."
She had that right. If Mikito hadn’t assigned it to us, there's no way I would've read this stuff.
I kicked Ume again and asked, "If it's so interesting, why are you staring into space?"
“I was imagining a Buddhist nun and a shrine maiden separated by reformers. It would make a good yuri story, and I think my publishers would pick it up as a one-shot. I’ll call it The Maidens of Shinbutsu Bunri.”
I was proud of myself. I didn't throw the book at her.
