Big job boards are a sensible place to start, but they aren't the only place openings appear. Widening where you look can turn up roles that fit you better and are less crowded. A few places worth checking: • Company careers pages. Keep a shortlist of employers you'd genuinely like to work for and check their pages every week or so. Some roles appear there first, and some never reach the big boards at all. • Saved searches for title variants. The same job can be called "operations coordinator", "programme administrator" or "business support officer". Set alerts for several versions, not just the one you'd use. • Niche and sector boards. Professional bodies, trade associations, charity and public-sector boards, and specialist communities often list roles the general sites miss. • People doing the job you want. A short, specific message asking about their team or how they got into the work (not asking for a job) can tell you who is hiring and what they look for. • Former colleagues and managers. Tell a few of them, in a sentence or two, what kind of role you're after, so they think of you when something comes up. • Recruiters who specialise in your field, rather than every agency that gets in touch. Then be choosy. A handful of well-matched, well-prepared applications is usually a better use of your time than a long list of loose fits. Not every vacancy that matches your skills is worth the hours of a careful application. Before you invest the time, run a quick sense-check on the role itself. A few practical filters: • Role clarity. Can you picture the actual job after reading the advert twice? Vague titles with a laundry list of unrelated duties often mean the team hasn't decided what they need yet. • What success looks like. Adverts that mention outcomes, the team, or the first six months are usually clearer about the real work than ones that only list tools and soft skills. • Practical fit. Location, hybrid pattern, salary band, notice period and right-to-work requirements — if any of these are a hard no for you, don't hope they'll change after interview. • Growth vs title. A slightly lower title with broader scope, mentorship or a clearer path can beat a flashy title in a dead-end setup. Ask what the last person in the role went on to do, if you get the chance. • Red flags in the copy. "Wear many hats" with no team size, "fast-paced" with no mention of support, or a salary that is "competitive" when peers publish ranges — none are automatic vetoes, but they deserve a closer look. • Your opportunity cost. A strong, tailored application takes real time. Two or three well-aimed ones usually beat ten rushed ones to roles you wouldn't take. You're allowed to skip a role that looks fine on paper if it doesn't fit your constraints. Saving that energy for the right ones is part of running a good search. Once you've got more than a handful of applications going, it gets surprisingly easy to lose track. Which CV version did you send? Who was the recruiter? Did they say two weeks or two days?
A simple tracker saves a lot of that stress. For each application, it helps to note:
• Company, role and the date you applied
• Which CV and cover letter version you sent
• A saved copy of the job advert, because adverts often disappear once the role closes and you'll want it before an interview
• The name and contact details of whoever you're dealing with
• The current stage and the next action, with a date (for example, "follow up on the 14th")
After any call or interview, spend two minutes jotting down what was discussed and anything they asked you to send. It's much easier to write a good follow-up, or prepare for round two, when you aren't relying on memory.
A quick weekly look through the list helps too: chase what's due, and quietly close off anything that's gone cold so it stops taking up headspace.
